Rendezvous Terms of Service

Effective Date: August 16, 2025

Last Updated: August 15, 2026

Welcome to Rendezvous. We’re excited to have you as part of our community. These Terms of Service (“Terms”) form a legally binding agreement between you (“you,” “your,” or “User”) and Rendezvous App LLC. (“Rendezvous,” “we,” “us,” or “our”).

Definitions. For purposes of these Terms: “Services” means the Rendezvous application, website, and related offerings provided by Rendezvous App LLC.; “User Content” means any content submitted by you, including schedules, posts, photos, and messages; “Personal Data” means any information relating to an identified or identifiable individual, as further described in our Privacy Policy.

Rendezvous is designed for aviation professionals to connect, collaborate, and make the most out of their schedules and layovers. By using our app, you gain access to features that allow you to share schedules, verify meetups, chat with friends and colleagues, and post or exchange content within a trusted network. To provide these Services, we collect and process certain information about you, and we rely on secure technologies and trusted partners to deliver functionality smoothly.

These Terms explain your rights and responsibilities when using the Rendezvous application, website, and related services (collectively, the “Services”). They also describe the rules of acceptable use, our data practices, intellectual property rights, and the limits of our liability. Because your trust is essential, we’ve drafted these Terms to be transparent about how Rendezvous works, what you can expect from us, and what we expect from you in return.

By creating an account, downloading the app, or accessing any part of the Services, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree, you may not access or use the Services.

1. Eligibility

Because Rendezvous is more than just another app — it’s a professional network designed specifically for aviation crews and those in related fields — we set clear requirements for who can participate. These requirements exist not only for legal reasons, but also to ensure the community remains safe, trustworthy, and relevant for those who rely on it.

You must be at least 18 years old, or the age of legal majority in your country of residence, whichever is greater. Rendezvous is not intended for minors, and we do not knowingly collect data from anyone under the minimum required age.

Rendezvous was built with aviation professionals in mind — pilots, flight attendants, airline staff, and others who work in or around the airline industry. While we do not exclude non-crew members, certain features (such as schedule syncing, flight-related networking, or verification badges) are reserved for verified aviation personnel. You may be asked to provide details such as your airline code, base airport, or aircraft type to confirm eligibility for those features.

By registering, you represent that you have the legal capacity and authority to enter into these Terms, either as an individual or on behalf of an employer or organization. If you are acting on behalf of a company, airline, or other entity, you confirm that you are authorized to bind that entity to these Terms.

You may only use Rendezvous in ways that comply with all relevant laws, regulations, and airline/aviation authority requirements in your jurisdiction. This includes, but is not limited to, labor laws governing your work hours, flight duty time rules, and data protection or privacy laws where you live and work.

Export Controls. You may not use or access the Services if you are located in, or ordinarily resident in, any country subject to U.S. trade sanctions, or if you are a person prohibited from receiving U.S. services under applicable laws.

Rendezvous is built on trust. To preserve the safety of the platform, you are not eligible to use our Services if:

You have previously been suspended or banned from Rendezvous.

Your account was terminated for violation of these Terms or other misconduct.

You attempt to misrepresent your identity, impersonate another professional, or provide fraudulent information.

You are prohibited by law, regulation, or applicable sanctions from using online services or engaging in professional networking.

Rendezvous reserves the right, at its sole discretion, to deny access, suspend, or permanently terminate any account that does not meet the above requirements. This may include requesting additional verification of your professional details or identity if necessary to maintain the safety and integrity of the community.

By creating an account or using the Services, you affirm that you satisfy all eligibility requirements. If at any point you no longer meet these requirements, you must immediately stop using the Services, and we may disable or remove your account without prior notice.

2. Account Registration

To access and use the Services, you must first create a Rendezvous account. Because Rendezvous is built around professional identity, networking, and schedule synchronization, registration is more than a technical step — it is the foundation of trust within the community.

To register, you must provide accurate, current, and complete information during the signup process. This may include your full name, preferred name, email address, phone number, airline code, base airport(s), aircraft types, job designation, and other professional details. We use this information both to personalize your experience and to verify that you belong to the professional aviation community we serve.

Each user is assigned a unique identifier (UUID) that distinguishes your profile within Rendezvous. This identifier is used to link your account with your posts, messages, schedule data, and connections.

You must create login credentials (an email and password) and are responsible for safeguarding them. You may also enable biometric authentication (such as Face ID or Touch ID) for secure access. If your device supports it, biometric templates remain on your device; Rendezvous only stores the authentication results, never the raw biometric data.

You are solely responsible for all activities conducted under your account. If you believe your account has been compromised, you must notify us immediately.

Some features of Rendezvous, such as displaying a verification badge or syncing certain professional data, may require additional verification steps. This may include uploading bid award documents, flight schedules, or other proof of employment. By submitting such materials, you authorize us to process them for verification purposes, including through trusted third-party services.

You agree to maintain accurate and up-to-date information in your account. Providing false, incomplete, or misleading details may result in suspension or termination of your account. For example, misrepresenting your airline affiliation or professional role undermines trust in the community and will not be tolerated.

Each user may only maintain one active account. Creating multiple accounts, whether for the purpose of impersonation, evading restrictions, or manipulating features, is prohibited.

Your Rendezvous account is personal to you. You may not sell, rent, transfer, or share access to your account with others. If you are using Rendezvous on behalf of an airline or organization, the account still remains tied to your individual identity

Rendezvous reserves the right to deny account creation or revoke access at its sole discretion, particularly if registration details are incomplete, suspicious, or in violation of our Eligibility standards (Section 1).

By registering for an account, you acknowledge and agree that you are joining a professional network where authenticity, accuracy, and trust are non-negotiable. Your account is both your identity within the platform and your responsibility.

3. Information We Collect and Use

Because Rendezvous is built around professional identity, schedule coordination, and social interaction, we collect and process certain categories of information to provide you with core functionality, improve your experience, and maintain the safety of our community. By creating an account or using the Services, you consent to our collection, storage, and processing of the following types of information:

When you register, we collect basic personal and professional details that establish your identity on Rendezvous, including:

This information allows us to build your profile, help other users find and connect with you, and verify your professional standing where applicable.

3.2 Flight Schedule Data

To support our schedule-syncing and meetup functionality, you may upload or input flight schedule details, including:

This information enables Rendezvous to match schedules, verify flights, and help you discover overlapping layovers with colleagues and friends.

3.3 Account Settings & Authentication

We collect data about how you configure your account and securely access the Services, including:

Biometric templates (such as Face ID or Touch ID) remain on your device; Rendezvous only receives the “yes/no” authentication result, never the raw biometric data.

3.4 Social & Communication Data

Because Rendezvous includes a professional social layer, we collect and store the following:

This data allows us to deliver chats in real-time, keep track of your social connections, and support collaboration across crews.

3.5 Location & Activity Data

Certain features rely on location data, which we process only when you grant permission through your device:

App activity logs, feature usage patterns, and timestamps to help us optimize performance and detect misuse.

3.6 Content & Media

You may also choose to share or upload content, such as:

3.7 How We Use This Information

We use the information described above to:

We will never sell your personal data to advertisers or unrelated third parties. Data sharing is limited to trusted service providers (see Section 5) and is done strictly for the purposes of delivering the Services.

3.8 Privacy Policy

Your use of the Services is also governed by our Privacy Policy, which explains how we collect, use, and protect your information. By using the Services, you acknowledge and agree to the practices described therein.

3.9 Text Message (SMS) Communications

By providing your phone number during registration or in your account settings, you expressly consent to receive text (SMS) messages from Rendezvous limited to security alerts and critical service updates — for example, notice of a security patch, a suspected account compromise, or an urgent service disruption. Message frequency for these communications will be minimal.

Marketing texts by separate opt-in only. Rendezvous also offers optional recurring marketing and community text messages (such as Deal Room offers, feature launches, and event or meetup announcements). We will send these only if you separately and expressly opt in — by checking the marketing-texts box at signup or enabling marketing texts in your Settings. Marketing-text consent is optional, is not a condition of using the Services or of any purchase, and may be withdrawn at any time in Settings or by replying STOP to a marketing message.

Terms applicable to all text messages:

4. Device Permissions

To deliver core functionality, Rendezvous may request access to certain features of your mobile device. These permissions are optional, but declining them may limit or disable specific features within the app. We will always request your consent before enabling access, and you may adjust these permissions at any time through your device’s system settings.

4.1 Camera Access

Purpose: Capture bid award documents for automatic schedule extraction, upload profile images, and take photos to share within the app.

What We Collect: Images you choose to capture and upload.

Control: You can disable camera access in your device settings, but this may limit your ability to upload documents or personalize your profile.

4.2 Photo Library Access

Purpose: Select existing photos or documents from your device to upload as schedule files, profile pictures, or social content.

What We Collect: Files or images you specifically select for upload.

Control: You can revoke this permission at any time in your device settings.

4.3 Photo Library Add Access

Purpose: Save processed bid award documents (e.g., parsed or formatted versions) back to your photo library for your personal records.

What We Collect: Only the processed files you choose to save.

Control: If disabled, processed files will remain accessible only within the Rendezvous app.

4.4 Location Services

Purpose: Verify in-person meetups with friends, tag posts with locations, and validate flight routes for schedule accuracy.

What We Collect:

Control: You may choose “While Using the App” or “Always Allow” in your device settings. If denied, location-based features may be unavailable.

4.5 Biometric Authentication

Purpose: Provide secure, password-free login using Face ID, Touch ID, or equivalent biometric systems.

What We Collect: Rendezvous never receives your raw biometric data. Verification remains on-device, and only the authentication result (“yes/no”) is shared with us.

Control: You may disable biometric login at any time and revert to password authentication.

4.6 Background App Refresh

Purpose: Keep your content, chats, and notifications up to date even when the app is not in the foreground.

What We Collect: Limited data refresh requests (e.g., new messages or friend requests).

Control: Disabling this may delay notifications or require manual refresh.

4.7 Push Notifications

Purpose: Alert you to new messages, friend requests, flight overlaps, and other social interactions.

What We Collect: Notification data may include sender name, message preview, or interaction type.

Control: You may opt in or out of push notifications at any time through your device’s notification settings.

5. Third-Party Services & Data Sharing

Rendezvous relies on carefully selected third-party service providers to deliver core functionality. We describe them here by category; a current list of named providers is available on legitimate request at support@gotrendezvous.com. These providers help us operate, secure, and improve the Services, but they do not own your data and may only use it as instructed by us. We do not sell your personal information to advertisers.

By using Rendezvous, you consent to the limited sharing of your data with the following providers:

5.1 Real-Time Messaging Infrastructure

Purpose: A dedicated real-time messaging service enables chat, group chat, presence tracking, and social interactions.

Data Shared: User profiles, chat messages, delivery/read status, and online activity.

Why It Matters: Without this service, secure, real-time chat between users would not be possible.

5.2 Cloud Database & Storage Provider

Purpose: A leading cloud platform acts as our primary backend database and storage provider.

Data Stored: Account details, posts, friend connections, messages, flight documents, and media.

Why It Matters: Provides the reliable, encrypted infrastructure necessary to store and retrieve your data safely.

5.3 Push Notification & App Stability Services

Purpose: Mobile platform services handle push notifications and app stability monitoring.

Data Shared: Device identifiers and notification payloads.

Note: Rendezvous explicitly disables analytics and advertising features of these services — your data is not used for marketing purposes.

Why It Matters: Keeps you updated with flight overlaps, new messages, and friend requests in real time.

5.4 Document-Parsing AI Service

Purpose: An AI document-processing service assists in parsing and extracting text from uploaded flight documents (e.g., bid award PDFs or images).

Data Shared: Only the documents you submit for parsing.

Why It Matters: Automates schedule extraction, saving you time and reducing manual entry errors.

5.5 Flight Data Verification Service

Purpose: An aviation data service verifies flight numbers, routes, and schedules.

Data Shared: Flight details (numbers, dates, airports) necessary for validation.

Why It Matters: Ensures schedule accuracy and provides a reliable source of truth for flight information.

5.6 Data Sharing Principles

We only share information with third parties that:

5.7 Other Sharing Circumstances

We may also disclose information if required by law, regulation, legal process, or government request, or to enforce these Terms and protect the rights, property, or safety of Rendezvous, our users, or the public.

6. Security

Protecting your information is a top priority at Rendezvous. We implement a layered approach to security that combines technical safeguards, secure design practices, and user awareness. While no system can ever be 100% secure, we take reasonable and industry-standard measures to reduce risks and protect your data.

6.1 Local Device Security

Biometric Credentials: If you enable Face ID, Touch ID, or other biometric login, your biometric templates remain securely stored on your device’s Keychain using *kSecAttrAccessibleWhenUnlockedThisDeviceOnly*. Rendezvous never stores or transmits raw biometric data.

Local Preferences: Your privacy settings and app preferences are stored in secure device storage (UserDefaults) and never shared without your consent.

Cached Data: Images and documents cached locally are protected using device-level security to minimize unauthorized access.

6.2 Network & Transmission Security

Encrypted Traffic: All data exchanged between your device and Rendezvous servers is encrypted via HTTPS.

Authentication Tokens: We use JSON Web Tokens (JWTs) to authenticate requests, ensuring that only authorized users and sessions can access data.

Transport Policies: While the app may use NSAllowsArbitraryLoads for certain connections, all sensitive user data is still transmitted securely.

6.3 Server & Database Security

Secure Hosting: All data is stored with our cloud database provider, which uses modern encryption, access controls, and redundancy protocols to protect against unauthorized access and data loss.

User Identifiers: Accounts, messages, and connections are stored using UUIDs, ensuring unique and secure identification across our database.

Access Controls: Only authorized personnel have restricted access to backend systems, monitored under role-based permissions.

6.4 Operational Safeguards

Continuous Monitoring: We monitor for unusual activity patterns to detect potential misuse or suspicious behavior.

Third-Party Standards: Our third-party providers are required to maintain strong security measures that align with modern privacy standards.

Regular Updates: We update our software and infrastructure to patch vulnerabilities and improve protection.

6.5 User Responsibilities

While we work hard to secure your data, you also play a critical role in protecting your account:

6.6 No Absolute Guarantee

Despite our efforts, no system is invulnerable. By using Rendezvous, you acknowledge and accept that data transmission and storage involve inherent risks, and we cannot guarantee absolute protection against unauthorized access, data breaches, or service interruptions.
